DEALER SPACE RENTAL CONTRACT

 

LOCATION: Scottish Rite Temple, 6151 H Street, Sacramento, CA.

SHOW DATES: November 12, 13 & 14, 2010 (Friday & Saturday 10:00 a.m. to 6:00 p.m., Sunday 10:00 a.m. to 5:00 p.m.)

 

SHOW MANAGEMENT RESPONSIBILITIES:

1.  Tables to be furnished by the Society in increments of six feet (12, 18, 24, 30, 36). Minimum 12 feet, maximum 36 feet, unless prior arrangements have been made. 

2.  Electric power furnished at 300 watts per table. Wattage used above this amount may be turned off.

3.  Two chairs and front skirting will be furnished.

4.  Sacramento Mineral Society personnel will provide security during closed show hours; club personnel will provide supervision and door monitoring during show hours.

5.  The Show Committee retains sole right of space assignment, but will try to respect dealers’ wishes.

6.  Provided free:  6 feet of rear table per rental of 18’ or 24’ of front table; 12 feet of rear table per rental of 30’ or 36’ of front table.

  NOTE: Rear tables will not be moved to the front to become selling areas.

 

 DEALER RESPONSIBILITIES:

 Due to the ability of SMS to spend monies on advertising, we need to know that we have space sold and payment received in a timely manner. Vendor booth space is $20.00 per foot; a 10% penalty will be added to any booth where Contract & 50% payment is not received by August 15, 2010.

We will be putting out a small program listing vendors and a small description of what they have to offer. So when you submit your contract be sure to fill out the section at the bottom where it asks what you are selling and how you would like to be described.

 

Please provide your own sign.

 

1.  Deposit 50% of rental fee with contract application. Include any cost of extra rear tables, space permitting.

2.  Balance due no later than October 1, 2010. Failure to remit may result in forfeiture of space and down payment. After October 1, 2010, the Show Committee will determine the amount of refund for cancellation.

3.  No changes may be made in this agreement unless placed in writing and signed by representatives of both parties; you may not sublet any of your space to anyone else. If after contracting with the Sacramento Mineral Society, Dealer is unable to attend the show, Dealer will notify the Society as soon as possible. Any detection of fraudulent or deceptive practices will mean immediate expulsion of Dealer and his/her wares and forfeiture of all monies paid.

4. SETUP TIME: Thursday, November 11, 2010 from 8:00 a.m. to 8:00 p.m.

COMPLIMENTARY VENDOR DINNER TO FOLLOW SETUP @ APROX. 6:00 pm

Friday, November 12 2010 from 7:30 a.m. to 9:00 a.m. (by prearrangement only)

  BREAKDOWN:  Sunday, November 15, 2010 must be completed by 8:00 p.m.

 

THERE WILL BE A CHARGE FOR ANY VENDOR THAT IS NOT OUT OF THE BUILDING BY 8:00P.M. CLUB MEMBERS AVAILABLE TO HELP WITH TEARDOWN AND LOAD OUT.

                                                                                                                                                                          

5.  Indemnify and hold management harmless from liability arising in connection with installation, operation, and removal of the property, and be responsible for any damage to building or premises.

6.  Make sure attendant is present in booth at all times during show hours.                                        

7.  Conform to applicable City and County Codes o r Ordinances. The Society will assume no responsibility for licenses, permits and/or taxes that may be required of the dealer.

8.  For security reasons, please do not allow unauthorized persons behind your counter. The Society and its members assume no liability for the safety of the merchandise, exhibits, the Dealers or their employees from robbery, pilferage, damage from fire, accident, or any other cause. The Dealer agrees to hold the  p2 of 2 Society and its members harmless for any and all claims. Expenses of any kind that might arise from claims by the public for injury to person or property will be at the dealer’s own expense.

9.  You may not extend width or length of your contracted footage. If this is done a charge equal to the additional footage will be imposed.  Height above the table may not exceed three (3) feet.
